Personal Assistant

Envisage Dental UK is on an exciting growth journey. As we scale our multi-site healthcare business, we are looking for a highly organised and proactive Personal Assistant to support the CEO across both business and family‑office activities.

This is a fast-paced and varied role with a primary focus on complex diary management, ensuring seamless coordination across multiple calendars including business commitments, charity engagements, personal appointments, and family-related priorities.

This is a hybrid role which requires a minimum of two days per week in the office (Basingstoke), with some flexibility available.

The Role:

Diary, Inbox & Calendar Management:

  • Manage and coordinate multiple schedules (business, charity, personal, and family) to ensure smooth logistics and optimal time planning.
  • Prioritise and anticipate commitments, resolving scheduling conflicts quickly and diplomatically.
  • Arrange meetings, calls, travel itineraries, and event logistics.
  • Prepare documentation, briefing notes, and follow-up actions from meetings as required.
  • Handle correspondence on behalf of the CEO with professionalism and confidentiality.

Family Office Coordination:

  • Assist with personal appointments, household-related administration, and coordination with family members or external service providers.
  • Support charity or philanthropic activities, including calendar planning and basic administration.

Liaison & Communication

  • Act as a key point of contact between the CEO and internal/external stakeholders.
  • Maintain strong working relationships with senior leaders, partners, and family office contacts.

General Support:

  • Ensure the CEO is fully prepared for upcoming meetings and commitments.
  • Undertake ad-hoc tasks to support the smooth running of both business and personal affairs.

Skills & Experience Required:

  • Full proficiency across the Microsoft Suite - Teams, Word, PowerPoint, Excel and Outlook.
  • Exceptional communication skills and a proactive, solutions focused approach.
  • Strong experience in diary management and administration support, with proven experience supporting a senior leader with at least 4-5 different calendars to overlay successfully.
  • Excellent organisational and prioritisation skills, with the ability to stay calm under pressure.
  • Professional, discreet, and able to handle sensitive information with total confidentiality.
  • Comfortable working in a role that blends business and personal support responsibilities.

About You:

This role will be suitable for someone who is reliable, detail‑oriented, and adaptable, with the confidence to manage shifting priorities and a varied workload. You’ll thrive in a role where no two days are the same and take pride in keeping everything running smoothly behind the scenes.

Interview Process at Envisage Dental:

  • Screening call – to assess your initial skills match and cultural fit with our People Team
  • Interview and presentation task – to assess the practical application of your skills, with our CEO.
  • Final stakeholder meeting.
